Refund & Cancellation Policy

Overview

RivaiLabs provides custom software development, AI/ML solutions, and technology consulting. Since all work is custom-built, this policy outlines how we handle payments, cancellations, and refunds.

1. Payment Structure

Advance: 30–40% of total project cost, collected before work begins.

Milestones: Subsequent payments tied to delivery and acceptance of specific milestones.

Final: Remaining balance due on final delivery and acceptance.

All payments via UPI, cards, net banking, NEFT. A 2% transaction fee may apply.

2. Cancellation Policy

Before work begins: Full refund processed within 7–10 business days.

After work begins: You are billed for all completed work. If advance exceeds completed work value, the difference is refunded within 14 business days. Completed deliverables are handed over.

Cancellation requests must be sent in writing to [email protected].

3. Refund Policy

Milestone-based: Refunds apply only for undelivered milestones. Once delivered and accepted, that milestone payment is non-refundable.

Quality disputes: Raise concerns within 7 days of delivery. We provide up to 2 revision rounds per milestone at no cost. If unresolvable, partial/full milestone refund is processed.

Non-refundable: Discovery/consultation fees, third-party licenses/API costs, domain/hosting charges.

4. Refund Processing

Approved refunds are processed within 7–14 business days via the original payment method. UPI/card refunds may take 5–7 days to reflect. Confirmation email is sent on initiation.

5. Scope Changes

Changes after signing are documented as change requests with revised pricing and timeline. Additional work beyond original scope is not eligible for refund under the original agreement.

6. Dispute Resolution

Disputes are first resolved through direct communication. If unresolved, arbitration in Bengaluru, Karnataka under the Arbitration and Conciliation Act, 1996.
